We appreciate there’s a lot of detail, but it’s important that you read this policy to make sure you’re fully informed about how we use your personal data, and your rights.
We may need to change this policy occasionally, to reflect changes to our services or legal requirements. We’ll notify you of any important changes via the App or by email before they take effect.

Who we are
We are Everything Adaptive Limited, a limited company registered in England and Wales under company number 17323901.
Under UK data protection law, we act as a ‘controller’ of your personal data.

‘Personal data’ means any data that identifies or can be used to identify you — it doesn’t include anonymous data. The personal data we collect through our website includes:
Contact Data: your name, phone number, and email address, when you contact us via the website.
Technical Data: our website uses cookies (see below).

What we use your personal data for
This section explains what we use your personal data for, and the legal grounds we rely on.
Under UK and EU data protection law there are six legal grounds we may rely on, most relevantly where:

- Using your personal data is necessary to enter into and perform our contract with you
- Using your personal data is necessary to comply with a legal obligation

We collect the following personal data, for the following purposes, under the following lawful grounds:
- To enable communication between website users and us — we collect personal data when users contact us, based on consent.
- To track interaction with our website and provide analytics — we process your personal data to understand how our website is used.
Who we share your personal data with
We don’t sell your personal data for marketing purposes, and we never will.
The only people with access to your personal data are:
- Our marketing team
- Our sub-processors, including Google Analytics and Microsoft as our email provider
- Our technical service providers — developers, hosting providers, and any supplier involved in delivering our services where client data may be processed
- Any regulatory authorities, such as HMRC, should you become a client
In the rare event we’re asked to disclose personal data under a legal request or court order, we’ll take legal advice before responding, to make sure your rights and interests are considered.
Where your personal data is stored
We won’t transfer your personal data outside the UK or the European Economic Area (EEA).
How we keep your personal data secure
We’ve put appropriate security measures in place to prevent your personal data being accidentally lost, misused, accessed without authorization, altered, or disclosed. We limit access to staff and technical service providers who need it, on a ‘least privilege’ basis. They’ll only use your data on our instructions and are required to keep it confidential.
We have procedures in place to handle any suspected data breach and will notify you and the UK Information Commissioner’s Office (or another relevant regulator) where we’re legally required to.
How long we keep your data for
We only keep your personal data as long as necessary for the purposes we collected it for, and to meet any legal, accounting, or reporting requirements. To decide how long, we consider the amount, nature, and sensitivity of the data, why we collected it, and the risk of harm from continuing to hold it.
Use of Artificial Intelligence (AI)
AI is not currently used on this website. We’ll update this policy if those changes.

Our website uses small text files called cookies, stored on your device when you access and use the site. Beyond those strictly necessary for the features you’ve requested, we’ll only store cookies if you’ve consented — when you first visit, and every 90 days after that.

- Portability: request an electronic copy of the personal data we hold, where it’s based on your consent or a contract, and processed automatically.
- Complaints: complain to the UK Information Commissioner’s Office (ICO), or another EU supervisory authority.
Exercising these rights is free, though we may charge a reasonable fee or decline a request that’s clearly unfounded or excessive — we’ll tell you if that’s the case. Note: under the Data Use and Access Act 2025, requests are assessed for reasonableness and proportionality; we reserve the right to refuse or ask for the scope to be reduced if they’re not.
To protect your data and our community, we may ask you to verify your identity before fulfilling a request.
